What is Enterprise Onboarding and Transitions?

Onboarding has been a problem that companies have been trying to solve for a long time.   The current approach of trying to solve onboarding within information silos (HR, IT, Facilities, etc.) is not working and the problem remains. ServiceNow has approached the problem from an enterprise employee service perspective. Now, an organization can configure complex processes rapidly across the enterprise and provide that consistent employee service experience with the new Enterprise Onboarding and Transitions module available with the Jakarta release.

The Enterprise Onboarding and Transitions module provides the ability to support complex employee lifecycle events through an intuitive interface. Lifecycle events are stages in the career of an employee that include onboarding, internal transfers, promotions, leave of absence, and offboarding. HR, IT, and Facilities, as well as other departments, can participate at different stages and have visibility at each stage. What makes this different from a workflow built in the platform?

  • Each business segment can have ownership of their own segment of the overarching process. Instead of one master workflow that needs to be modified by an admin, activity sets and activities can be modified by each respective process owner.
    • Activities owned by specific groups can have restricted visibility to ensure confidential processes are not accessed by individuals not part of that group
  • Since HR licenses every employee, activities can be assigned to hiring managers and new hires to ensure action items are completed in a timely fashion based on process timeline.
    • Activities can encompass different task types such as watching a video, completing an order form, making a request, or acknowledging a document.
  • Specific Lifecycle Event Roles come out-of-the-box allowing for trained HR administrators to make modifications to the process without relying on an IT system administrator.
  • Time bound conditions can be leveraged to trigger activity sets without an update to the record being made.
  • Start date changes will automatically be accounted for in the process flow.
  • No-code interface enables business process owners, or non-technical resources, to configure activities without reliance on IT or the System Administrator.
    • In-flight process changes to activity sets will be captured for all employees going through the lifecycle event.
