Specific to Knowledge Management, For records/version management, how far back can the Article versions be retained? (eg.50 versions before the first version is deleted)? Are there any limitations in terms of keeping number of historical versions?

Hi there, 

Trying to evaluate ServiceNow as a platform for Knowledge Management. Due to compliance on record retention, we need to consider keeping up to 50 versions of historical knowledge article. Trying to find out are they any limitations. 

Any help appreciated.

Hello! I can speak from experience - we have some articles that have been updated frequently (especially during the height of the coronavirus pandemic), and we are up to versions 150+ - with no end in sight. From what we can tell, ServiceNow seems to be good for keeping archival, historical records of versions.

Good luck in your search! We've been using SNOW for over 3 years now. Please feel free to reply to this comment if you have other questions. Would be happy to share about our experiences standing it up. (First word of advice - get yourself a good vendor/consultant who can help - worth their weight in gold - but you really do need to vet them.)

Hi Jayaprakash,

There seems to have no real limit to the versions on Knowledge articles.

There is no system property for it and the version numbers are stored in the kb_version table, so may contains quite a lot !
