    Any one please answer- find an User resource is available only 20% or 30% ..etc OR 10 or 18 hours available for week to Create Resource plan on  new Project

      How can we find an User is available only 20% or 30% ..etc OR 10 or 18 hours available for week to Create Resource plan on  new Project?

       

      here i am calculating hours manually

      Ex: Mr.John is assigned 3-projects and he is allocated for 32-hours on 3-projects , but now we are planing to assign this person for some projects so how can we find that Mr.John available hours and available %.

       

      note: here 32-hours i have calculated  manually.So every time we can't calculate manually, so how can we do this.

       

      OR

      How can we find those persons are not allocated to any projects and he has full available hours & %

      Ex: Mr.Rio, Up to now he has been not allocated for any project. So how can we find this person is not allocated for any project -he has full available hours, available % so can we use Rio ,    where can we get this kind of details not only Rio, some more other users

       

      Finally i would like to know who is available, who is not.  & how much available % he has ? as this kind of information.....

              Hi Sharath,

               

               

              AS per Workbench, we can able to see resource plan users who are involved in projects only, So can we able to see other users details, how are have not been assigned to any project.

              Is there any chance to do it.

                  Chanikya,

                  Out of Box (OOB), the Resource Plan form is designed to only show you information about groups and users that have been given the pps_resource role. So if the other groups and users you are interested in seeing don't have this role, they won't be selectable from the Resource Plan form.

                   

                  You can see these details by looking at the dictionary entries for the "Group resource" and "User resource" fields on the Resource Plan; both fields use what is called a reference qualifier, which limits the selectable values. In this case the reference qualifier is looking for groups or users with the pps_resource role.

                   

                  I believe the intent here is to limit resource plans to just the users that have been licensed for ITBM/Project Portfolio Management. Last I heard, the way the current licensing model works, you acquire licenses at one of two levels (Project Manager Types and Project Workers). The PMs have pretty much full create, edit and update access to the PPM applications and modules; the Project Workers can add work notes, update project task state, etc. but have less access rights than the PMs.

                   

                  So it probably wouldn't make sense to build resource plans against workers that don't have access rights for the PPM applications and modules, because without the necessary roles and licenses, they wouldn't be able to be assigned to project tasks, and wouldn't be able to view and update those tasks.

                   

                  Does that make sense? If you have questions about the licensing piece, I'm sure your ServiceNow account executive can give you a better overview of how it works. But a lot of the logic around access and visibility for the PPM related applications and modules is based on this licensing model.

                   

                  This is what the reference qualifier looks like for the "User resource" field on the Resource Plan form:

                Chanikya,

                There is more than one way to get to this information, but one direct path if you want to check the calendar of an individual user is to navigate to Resource > Resources > Users. Select/open the desired user from the list view, and you should see the Resource Manager view of the user record. It will include a related link near the bottom of the form for View Calendar. You can page through the calendar for the date range you wish to check for availability.

                 

                You can also perform the same type of check via reporting using the Resource Reports module. Selections like the image below will show you how a single user's availability looks for whatever time period you define. You could take the same approach to check availability at the group level, or by role/skill instead of doing it for each user individually...

                  From the calendar view you have copied into your message, clicking on one of the blue bars (CISCO UNIT1 in the example you included) will display a popup for that event, showing the date range and number of hours. You can open the calendar event from that popup, and that will display the detailed list view of the associated resource allocations records. So if you know you are checking availability for a worker that is available 40 hours per week, you could compare the calendar event entries against your desired date range and then figure out how much time remains available.

                   

                  But if you want ServiceNow to do that math for you, the other option discussed (using the Resource Reports module) works better. That will show you hours available in a color coded report. So you may want to experiment with it (the examples below show weeks where this worker has 24 and 0 hours available based on his work scheduled and existing allocations):

                      When I opened User : Kishore, he allocated 2-projects,

                                                                                             1.TEST project  aloocated hours   27

                                                                                              2.IT133 DMT project  allocated hours  38

                       

                                                                                                total   65 hours , so he has no availability , like this where can  we able to this details, Every time we can't able to open records and we can't calculate all project hours manually how many hours allocated, how many hours availability

                       

                      My request is:

                       

                      Ex: User : Sean witt-      Senior Developer and  he was  Assigned 5 Projects already  , but I  don't know how many hours allocated him for each project and his availability hours .

                       

                      But one major project required his assistance in that project. but if  opened his calendar- he already engaged with 5-projects but we don't know how many hours still available to assign him to that major project.  every time we can't able to open calendar and can't calculate each project hours manually.

                       

                      So how can we over come this situation,  Please explain it , I am new for this module  Kindly requesting you on this .
